A breakup email is the last message in a follow-up sequence. It tells the prospect you will stop writing, makes it easy to say "not now" or point to someone else, and leaves the door open. It works because it is honest and takes the pressure off. It is not a trick or a guilt trip.
When to use it
Use it after three or four earlier touches have gone unanswered over a few weeks. It should be the final message of a sequence, not the second email. If the person has replied at any point, do not send it.
The template
Subject: Closing the loop Hi (first name), I have written a few times about (topic) and have not heard back, so I will assume the timing is wrong and stop here. If (problem) becomes a priority, you can reach me at this address. And if someone else on your team owns it, I would be grateful for a name. Wishing you a good quarter, (your name)
Why it works
- It is clear that this is the last message, so the reader can relax.
- It gives two easy ways to reply: later, or here is the right person.
- It is short and has no guilt in it.
Two variations
With a small offer:
Hi (first name), I will stop writing after this. If it helps, I can leave you a one-page summary of (topic) to keep for when it is relevant. Just reply "send it" and I will. Otherwise, all the best. (your name)
With a later check-in:
Hi (first name), it looks like (topic) is not a priority right now. I will check back in (month) in case things change. If you would prefer I did not, tell me and I will not. (your name)
What to check before you send
- This really is the last step, and no one on the list has replied.
- The tone is neutral, with no sarcasm.
- Anyone who asked to opt out is removed everywhere, not just from this sequence. The US CAN-SPAM Act has no exception for business email, and it requires you to honor opt-outs. GDPR and CASL exist for contacts in those regions.
- Your sender details and opt-out line are in place.
Mistakes to avoid
- Guilt: "I guess you are not interested."
- Breaking up after one email.
- Sending a breakup email to someone who replied "not now". Respect the answer and set a reminder instead.
How Rodok helps
Rodok sequences send steps from your own Gmail or Outlook and pause a person as soon as they reply, so a breakup email only goes to people who stayed silent. The replies inbox sorts answers such as interested, not now, referral, out of office and unsubscribe, and the CRM keeps a record of when you last wrote. Learn how to space the steps in sales sequences.
Frequently asked questions
Do breakup emails work?
Some teams find they draw replies because they lower the pressure, but results differ from team to team. Test one against ending the sequence without it and see.
How many emails before a breakup email?
Three or four earlier touches over several weeks is a common pattern.
Can I contact them again after a breakup email?
Yes, after a few months and with a new reason, such as a role change. Not if they asked you to stop.
