A cold email template for B2B has four parts: why you are writing to this person, the problem you help with, one plain line on how, and one small question. Below are three versions for different starting points: a trigger, a referral and a piece of content. Pick the one that matches what you actually know.
When to use it
Use these for a first email to a business contact who does not know you. The reason must be true today. If you only have a job title and a company, research more before writing. A general version is in the cold email template.
Version 1: a trigger
Subject: Question about (their team) Hi (first name), I saw (the trigger: a hire, a launch, a role change, a post). We help (type of team) with (problem) by (one plain sentence). Would it be useful if I sent a short example of how (a similar company) handles it? (your name)
Version 2: a referral
Subject: (name) suggested I write Hi (first name), (Name) at (company) mentioned you are working on (topic). They thought (your area) might be relevant. We help (type of team) with (problem). Is that on your list this quarter? (your name)
Only use this if the person really did suggest it, and ideally ask them first.
Version 3: a content hook
Subject: Your post on (topic) Hi (first name), Your point about (specific detail from the post) matched something we see: (one related observation, stated as opinion, not a statistic). We help (type of team) with (problem). Worth a short conversation? (your name)
Why it works
- Each starts with a reason that belongs to the reader and makes one ask.
What to check before you send
- The reason is true, recent and specific to this person.
- The role buys or influences what you sell.
- The subject matches the content. The US CAN-SPAM Act makes no exception for business-to-business email. It requires accurate sender information, a physical postal address and a working opt-out.
- GDPR and CASL apply to the EU, UK and Canada. Check their rules before sending there.
Do not send one email to hundreds of people with only the name changed, and plan a short sequence for follow-up.
Finding the people
In Rodok, you describe a signal in a sentence, such as "hiring a head of RevOps at SaaS companies in the US", and a tracker finds the people and companies showing it. The lead database also finds people by title, seniority, company size, industry and market, and usually returns a work email. AI drafts the first line, and email steps go from your own Gmail or Outlook after you review them. Read more on outbound sales strategy.
Frequently asked questions
What should a B2B cold email include?
A true reason for writing, the problem you help with, one line on how, and one small question. Add an opt-out line and your company details.
Do B2B cold emails need to follow CAN-SPAM?
In the US, yes. The law applies to commercial email, including B2B. See the FTC guide linked above for the full requirements.
How long should a B2B cold email be?
Four to six short lines. If you cannot say it in that space, you are probably asking for too much in a first email.
