Zoho CRM alternatives in 2027: 4 CRMs for small teams

Zoho CRM alternatives for small sales teams, compared on setup effort, built-in email and calling, signals and verified prices, with who each CRM fits.

Short answer: the best Zoho CRM alternatives for a small team are HubSpot for a well-known free start, Close for a CRM built around calling and email, Freshsales for low per-user prices with sequences, and Rodok for a simple CRM (Starter) with signals, a lead database and sequences added on Pro. Choose by how much you want to configure versus how much you want already working.

This article is about Zoho CRM at zoho.com/crm, not Zoho's other products.

Why teams look for a Zoho CRM alternative

Zoho CRM is broad. Its site calls it an AI CRM, with sales force automation, workflow and cadence automation, forecasting, CPQ, a design studio for custom layouts and more than 1,000 integrations, and it says 300K+ businesses use it (zoho.com/crm). There is a free edition for up to 3 users. If you want a CRM you can shape to your process, few cost less.

Teams that look elsewhere usually name one of three things.

  1. Many editions, and prices behind a calculator. The pricing page lists Free, Standard, Professional, Enterprise and Ultimate, plus CRM Plus and Bigin as separate products. When we checked on November 1, 2026, the page text showed no per-user amounts for the CRM editions and sent visitors to a pricing calculator. The only figure shown was CRM Plus, starting at $20 per user per month.
  2. Features are spread across editions. For example, the page puts the approval process, account based marketing and a developer sandbox under Enterprise. Check which edition holds the feature you need before you plan.
  3. Setup takes work. A CRM you can customize in many directions is a CRM someone has to configure.

Configure or use: the real choice

  • Configure: you design modules, layouts and automations, and get the exact process you describe. Zoho leans here.
  • Use: the pipeline, email and tasks are ready on day one. You change a few stages and start.

A team with an operations person and a complicated sales process can be happy in Zoho. A founder with three reps usually wants the second kind.

HubSpot

HubSpot's pricing page shows a free tier for up to 2 users and Sales Hub Starter at $10 per seat a month month-to-month or $7 with an upfront annual payment. It labels that a limited-time discount for new customers, with the normal price at $20 per seat a month. Starter includes up to 50 workflows, 500 calling minutes and a HubSpot-provided phone number that isn't supported in every country (pricing). The page we fetched didn't show Professional or Enterprise.

Best for: teams that want a familiar CRM with a free start. Watch out for: the entry price is a discounted offer, and higher tiers aren't shown on that page, so check the next tier before you commit.

Close

Close is a CRM for teams that live on the phone and in email. Its pricing page lists Solo, Essentials, Growth and Scale, with email, calling and SMS built in from Essentials, workflows and a power dialer on Growth, and a 14-day free trial (pricing). Each plan shows two prices, for example Essentials at $49 or $35 per user a month, without labeling which is monthly. Calling and SMS are billed by usage.

Best for: inside sales teams that call a lot. Watch out for: per-user prices rise quickly on the higher tiers, and calling is billed on top.

Freshsales

Freshsales (from Freshworks) lists Growth at $9, Pro at $39 and Enterprise at $59 per user a month billed annually. Growth has a kanban view, lifecycle stages, chat, email and phone, and basic workflows. Sales sequences, contact scoring and territory management start on Pro, and forecasting insights on Enterprise (pricing). Monthly prices weren't shown on the page.

Best for: small teams that want a low per-user price and a built-in phone. Watch out for: sequences sit on Pro, so price that tier if outreach matters.

Rodok

Rodok is a CRM first and a signals tool second. Starter ($29/month for 3 seats) gives you companies, people, deals, tasks, notes and files, Gmail and Outlook on every record, calendar sync and booking links, reports and forecasting, team chat on records, and roles and permissions. Pro ($79/month for 3 seats, $19 per extra seat) adds the pipeline-building side: signal trackers on LinkedIn posts, job changes and a watchlist, a lead database, email sequences from your own inbox with LinkedIn steps as tasks, and a replies inbox sorted by AI.

Best for: small B2B teams that want to fill the pipeline and run it in the same place. Watch out for: Rodok has no phone dialer, and it integrates with Gmail and Outlook rather than a long list of apps. If you need a deep custom data model or a marketplace of integrations, Zoho is the stronger fit.

How to move off Zoho without a long project

1. Export what you use

Export companies, contacts and open deals with their stages. Zoho's free edition limits exports to 10 times, so plan the export early if you are on it.

2. Cut your fields

Before you import, list the fields people actually fill in. Most teams use fewer than they created. A shorter record is easier to keep current.

3. Rebuild only three automations

Pick the reminders you rely on: a follow-up task after a meeting, a stalled-deal alert, a new-lead assignment. Add others later. Our sales pipeline glossary entry helps you define the stages first.

4. Check email and calendar

Confirm your mailboxes and calendar connect and that sent email shows on the right record. For outbound, see the sales sequences guide.
