Follow every inquiry through the discovery call to a signed package, and know who is due for a renewal conversation. Built around how business and executive coaches actually sell, so you start from your own stages instead of a blank page.

Your pipeline, in your stages

Deals move through the stages business and executive coaches actually use. Drag a deal, and its forecast and reports follow.

Example data.

The whole CRM, not just the pipeline. Contacts, companies, tasks, email, automations, chat and the lead finder, in one app.

Start with Pro

A CRM for coaches keeps every inquiry, discovery call and package in one place, with the next follow-up written down, so you stop losing people who liked the call but never answered the proposal. This page is about business, executive and leadership coaches, who sell to individuals and to companies.

How selling works for a coach

People rarely hire a coach on the first visit. A prospect reads your writing, sees you speak, hears about you from a client or watches a post, then writes. The decision is personal and often takes a few conversations. For executive coaching, a second person can be involved: an HR leader or a manager who pays for a program.

Coaches commonly sell packages: a set number of sessions over three or six months, a group program or a team engagement. The last step of a package is the next one, so renewals matter as much as new leads.

A pipeline that matches that rhythm:

StageWhat it meansNext step to log
InquirySomeone wrote, signed up or was introducedSend your booking link
Discovery callA first conversation is booked or doneSend a proposal within a day
ProposalPackage and price sentFollow up in 3 to 5 days
EnrolledThey said yesBook the first session
RenewalThe package is endingOffer a renewal or a referral

The renewal stage is the one most coaches skip. Put a task on the date, three weeks before the final session, to ask how it is going and what comes next.

What to look for in a CRM

  • A booking link. The discovery call should be two clicks, not five emails. Pick a CRM that can offer times from your calendar.
  • Person and company records. Individual clients are people. A leadership program for a company needs the company, the buyer and the participants.
  • Notes after every call. What a client said they wanted in session one is what you check at session six.
  • Dated follow-ups. "Check in after their board meeting" should be a task that appears that day.
  • A simple view of who is where. A board with five columns is enough. See what a sales pipeline is.

Signals worth watching

Public events that often come before someone looks for a coach. Each tracker is a sentence you type into Rodok Pro, which reads LinkedIn posts, job changes, hiring and company news.

  • A promotion into leadership. Tracker: "people promoted to director, VP or head of a function in the last 60 days at companies with 50 to 1,000 employees". A first-time leader often wants support. See promotion.
  • A new executive starts. Tracker: "COOs, CMOs and VPs who started a new role in the last 90 days in (your market)". See new executive.
  • A company hires many managers. Tracker: "companies hiring five or more manager roles at once in (your region)". Growing teams often invest in leadership development. See hiring surge.
  • A post about a leadership challenge. Tracker: "posts from founders and managers about burnout, delegating or managing a first team". See pain point posts.
  • A request for a coach. Tracker: "posts asking for a recommendation for an executive or leadership coach". See recommendation request.

A first message example

An example, with made-up names:

Hi Priya, congratulations on the promotion to director at Fenwick. Moving from running a team to running managers is one of the harder shifts, and I work with people in that first year. If you would like, I can send a short outline of how I run the first three sessions. No call needed unless you want one.

Where Rodok fits and where it does not

Rodok Starter ($29 a month for 3 seats) is a sales CRM: companies, people, deals, tasks, notes, files, Gmail and Outlook on every record, a calendar, booking links, reports and team chat. Pro ($79 a month for 3 seats) adds LinkedIn signals, a lead database, sequences and AI.

It does not take payments, host courses or groups, or give clients a portal to read session notes. Keep your payment and program tools for that. If most of your clients are private individuals paying for personal coaching, a simpler contact tool may be enough, and Rodok fits best when companies or leaders are the buyers.

Frequently asked questions

Do coaches need a CRM or just a calendar?

A calendar shows who you meet. A CRM shows who you have not heard back from, who is about to renew and where each lead came from. Once you have more than a few inquiries a month, those answers decide your income.

How do I follow up after a discovery call?

Send the proposal within a day, then log a follow-up for three to five days later. If they stay silent after two follow-ups, move them to a long-term list with a task for a few months out.

Should I track free workshops and webinars in the CRM?

Yes, as a source on each person. The people who joined a free session are warmer than a cold list, and knowing which events produce discovery calls tells you where to spend your time.
