Start with ProA CRM for financial advisors tracks every prospect from the first conversation to a signed advisory agreement, shows where each referral came from, and tells you who to call today. The best CRM for financial advisors is the one that fits how your practice wins clients, and it must also fit your firm's compliance rules. Rodok is a sales CRM, not a portfolio, planning or custodian system.
How selling works for an advisor
Advisory work is a trust sale with a long runway. A prospect often arrives through a referral from a client, a CPA or an estate attorney, then takes several meetings before moving assets or signing. The buyer may be an individual, a couple or a business owner, and the decision often waits on a life event.
Most practices use some version of these stages:
| Stage | What happens | Next step to log |
|---|---|---|
| Referral or inquiry | A name arrives, or someone responds | Intro call |
| Discovery meeting | You learn goals and situation | Send a summary and agree on a second meeting |
| Proposal | You present your approach and fees | Follow up on the decision |
| Onboarding | Agreement signed, paperwork under way | Hand off to your service process |
| Client review | Ongoing | Schedule the next review |
Rodok covers the pipeline up to onboarding. Account opening, planning software, performance reporting and billing stay in the tools built for them.
The follow-up rhythm is slow and personal. A prospect who says "let's talk after the sale of the house" needs a task dated for after the sale of the house, with a note on what they said.
What to look for in a CRM
- Referral sources as first-class records. Link every prospect to the CPA, attorney or client who sent them. Then thank the referrer and, where it is appropriate, return the favor.
- Households as companies. A couple is two people at one household. In a CRM built around companies and people, you can group them under one record.
- Email and meetings on the record. Booking links and calendar sync mean the discovery meeting lands on the contact without retyping.
- Review reminders. Dated tasks for annual and semiannual reviews, so existing clients do not drift.
- A clear note after each conversation.
A compliance note
Client records and communications with prospects and clients may be subject to regulation, depending on whether you are a registered investment adviser, a broker-dealer representative or something else. FINRA, for example, says on its books and records page that member firms must retain business-related emails, instant messages and business social media posts, and that they cannot allow a channel they cannot capture and retain. Check with your compliance officer before you put any tool into your workflow, and ask whether messages sent from it are captured under your firm's retention rules. Rodok does not make any claim that it satisfies a regulation, and it has no archiving feature built for regulated recordkeeping.
Signals worth watching
Public events that sometimes prompt a person to look for an advisor. Each tracker is a sentence you type into Rodok Pro. It can see LinkedIn posts, job changes and hiring, so the list leans toward business owners and executives.
- A founder announces an exit or a sale. Tracker: "founders posting that they sold their company or announced an acquisition". A liquidity event is one reason people look for advice.
- An executive changes jobs. Tracker: "VPs and directors who started a new role in the last 90 days at companies with 200 or more employees". A new employer means a new benefits package, equity and often an old retirement plan. See champion job change.
- A promotion. Tracker: "people promoted to director, VP or C-level in (your region)". See promotion.
- A company announces a funding round. Tracker: "founders announcing a funding round". See funding round.
- A professional asks for a recommendation. Tracker: "posts asking for a financial advisor recommendation". See recommendation request.
Only contact people where the law and your firm's policy allow it, and do not send marketing from a personal profile without checking your compliance rules first. Many firms review advisor outreach before it goes out.
A first message example
An example, with made-up names:
Hi Priya, congratulations on the new role at Brightwell. People who change employers often have an old retirement account and a new equity package to sort out. If it would help to have a second pair of eyes, I am happy to walk through how I would approach it. No obligation, and I can send a short outline first.
Review any message of this type with your compliance officer first. Compare it with the LinkedIn connection request message template.
Where Rodok fits and where it does not
Rodok Starter is the CRM: companies, people, deals, Gmail and Outlook sync, a calendar, booking links, reports and team chat. Pro adds LinkedIn signals, lead lists and enrichment, sequences and AI agents.
It fits an advisor who sells to business owners and executives and wants a simple pipeline with email next to the record. It does not do portfolio management, financial planning, client portals, custodian or account-opening workflows, billing or archiving for regulated communications. If a large part of your day is supervised by compliance software or you work inside a broker-dealer's required systems, ask whether you can use a separate CRM at all. Rodok does not integrate with custodians or planning tools.
Frequently asked questions
What is the best CRM for financial advisors?
There is no single answer. Advisors who need integrations with custodians and planning software are usually better served by a CRM built for that. Advisors who sell to business owners and want a simple pipeline with email attached can use a sales CRM like Rodok. Check compliance fit first in either case.
Can I store client information in a sales CRM?
Check with your compliance officer before you do. Keep the sales record to what you need to follow up: who they are, how they found you, where they are in the process and what was said. Leave account numbers and sensitive financial details in the systems your firm has approved for them.
How should an advisor track referrals from CPAs and attorneys?
Record each referrer as a person at their firm, link every new prospect to them, and set a recurring task to stay in touch. Over time you can filter your closed deals by referrer and see which relationships produce clients.
