Manage many repeat buyers: who is due a call, who stopped ordering, and which quotes are open. Built around how distributors actually sell, so you start from your own stages instead of a blank page.

Deals move through the stages distributors actually use. Drag a deal, and its forecast and reports follow.

Example data.

The whole CRM, not just the pipeline. Contacts, companies, tasks, email, automations, chat and the lead finder, in one app.

A CRM for distributors helps your reps manage many repeat accounts: who buys, who has gone quiet, who is new in your territory and what each person should call today. It sits beside your order and inventory system. It does not take orders, hold stock or manage pricing.

How selling works in distribution

The National Association of Wholesaler-Distributors describes distributors as the critical link between manufacturers and the businesses, retailers and institutions that serve customers. A distributor's sales team lives in that link. The work looks different from a one-time sale:

  • Many accounts, many small orders. A rep may hold far more accounts than they can call in a week, and many buy without a conversation.
  • Territory. Each account belongs to a rep, a region or an inside sales team, and a new account should land with the right owner on day one.
  • Two buyers per account. The person who orders (a purchaser, a counter buyer, a maintenance planner) and the person who decides (an owner or a manager).
  • Suppliers behind you. You also sell for manufacturers, so you are managing vendor relationships and line cards.

The stages a distributor names for a new account usually go like this: prospect, credit application or account setup, price quote or price list sent, first order, repeat buyer. After that, the useful status is not a stage but a state: active, slowing, at risk, lapsed, based on how long since the last order. Your order system knows the date of the last order. Your CRM should hold the call that should follow.

What to look for in a CRM for distributors

  • Ownership by rep and territory. A field for territory, a view per rep and role permissions so a rep sees their accounts. Rodok has roles with own, team and all scope.
  • Fast import. Start with a CSV export of accounts and contacts from your order system. Do not retype.
  • Reorder reminders. A task on each account for when it should buy again, so a quiet account becomes a call.
  • Multiple contacts per company. Buyer, owner, accounts payable. Note who prefers email.
  • Email and calendar on the record. Quotes, price list requests and line-card questions come by email.
  • Reports by rep. Accounts contacted this month, quotes sent, new accounts opened.

Signals worth watching

Most distributor growth comes from two places: accounts that grow, and new accounts in your territory. Rodok's Pro trackers watch LinkedIn posts, job changes, hiring and company news.

A first message example

An example with made-up names. Use your real line card and location.

Hi Sam, I saw Larkin Mechanical is opening a second branch in Greeley. We stock fittings, valves and controls from 12 manufacturers and deliver to the north side twice a day. Who buys supplies for the new location? I can set up an account and send our price list this week.

Where Rodok fits and where it does not

Rodok's Starter plan ($29 a month for 3 seats) is the CRM: companies, people and deals, Gmail and Outlook sync, calendar, booking links, tasks, reports and team chat. Pro ($79 a month for 3 seats, $19 per extra seat) adds LinkedIn trackers, a lead database and sequences.

Rodok does not take orders, manage inventory, set customer pricing, run EDI or ecommerce portals, check credit, or handle warehousing and shipping. That is your distribution ERP or order management system, and Rodok does not integrate with those today beyond email and calendar. If your reps mainly need to enter orders and check stock, a distribution platform is the right tool. If you have a field or inside sales team that needs to prospect, follow up and track quotes, Rodok fits. If you make products rather than resell them, see CRM for manufacturing.

Frequently asked questions

Do distributors need a CRM if they have an ERP?

The ERP knows what was ordered. A CRM knows who you spoke to, what you promised and who should be called next. Distributors with a sales team usually need both.

How do you manage sales territories in a CRM?

Add a territory field, assign an owner to each account and give every rep a saved view of their accounts. Use roles so reps see only their own, if you want that. Reassign in bulk when a rep leaves.

Can a CRM remind reps to follow up on reorders?

Yes, with a task or reminder on the account for the date it should buy again. The CRM does not read your order history on its own, so someone has to set or import the date.
