Your contacts, with their company, deal stage and last activity. Example data.
Rodok keeps every lead, proposal and past client in one pipeline with the next step on each, and finds companies hiring for work you do. Built around how freelancers actually sell, so you start from your own stages instead of a blank page.

Start with ProA CRM for freelancers is a simple record of everyone who might hire you: where each lead came from, what you proposed, when to follow up and who has hired you before. It is not an invoicing app or a project manager. Its job is to keep the next client from slipping because you were busy with this one. The same applies to CRM for solopreneurs and independent consultants.
How selling works for a freelancer
You are the salesperson and the person who delivers. Work tends to arrive in waves: you win a project, disappear into it, finish, and then look up to find an empty pipeline. Lead sources are mostly referrals, past clients, your network, content you published and the occasional inbound message. The buyer is usually a founder, a manager or a marketing lead, and the sale is a proposal for a project or a retainer.
The stages most freelancers use are short:
| Stage | What it means | Next step to log |
|---|---|---|
| Lead | Someone who might need you | Reply and ask for a call |
| Intro call | You talked and learned the scope | Send a proposal within a day |
| Proposal | Price and scope sent | Follow up in 3 to 4 days |
| Agreed | They said yes | Send the contract and deposit request |
| Kickoff | Work begins | Add a note to ask for a testimonial at the end |
Past clients are the best lead source you have, so keep them in the same pipeline with a task such as "check in three months after delivery". For the arithmetic of how many proposals you need, see the lead conversion rate calculator.
What to look for in a CRM
- It takes ten minutes to set up. A freelancer will not maintain a heavy system.
- Email attached to the person. Proposals and questions happen in the inbox.
- Reminders. The follow-up is where freelancers lose work.
- Past clients visible. One filter that lists everyone you have worked with and when you last spoke.
- Pricing that does not assume a team. Check the seat minimums before you commit. Rodok Starter is $29 a month and includes 3 seats, so a solo freelancer pays for a team plan. It makes sense if you want a calendar, booking link, email sync and reports. If you only need a list, a spreadsheet is a fair choice.
Signals worth watching
Public events that often come before a company hires a freelancer. Each tracker is a sentence you type into Rodok Pro, which sees LinkedIn posts, job changes, hiring and company news.
- A company hires for work you do. Tracker: "companies hiring a (your role, such as content marketer or product designer) in (your market)". A job post often means the need exists and a hire is slow. See hiring for your job.
- A new leader in your buyer's seat. Tracker: "(your buyer's title) who started a new role in the last 90 days at companies with 10 to 200 employees". See champion job change.
- A product launch. Tracker: "companies launching a new product in (your market)". See product launch.
- A rebrand. Tracker: "companies announcing a rebrand or a new website". See rebrand.
- A request for a recommendation. Tracker: "posts asking for a (your skill) freelancer or consultant recommendation". See recommendation request.
A first message example
An example, with made-up names:
Hi Jordan, I saw that Linden Labs is hiring a content marketer. While you look for the right person, I can take over the blog for a month or two so the schedule does not slip. I have done this for a few B2B software teams. If useful, I can send two sample outlines this week, and you can decide after that.
For more, see the cold email template.
A weekly check in 15 minutes
- List every proposal sent more than 3 days ago with no reply and nudge each one.
- Message two past clients with something useful, not a request.
- Open the new signals and write to the two best.
Where Rodok fits and where it does not
Rodok Starter is $29 a month for 3 seats: the CRM with Gmail and Outlook on every record, a calendar, booking links and reports. Pro is $79 a month for 3 seats and adds signals, a lead database and sequences.
It does not send invoices, track time, sign contracts or manage projects. In a sequence, email steps send from your own Gmail or Outlook and LinkedIn steps are tasks for you.
Frequently asked questions
Do freelancers need a CRM?
Once you have more than a few leads and past clients, yes. The CRM does one job well: it tells you who to contact today.
Can a spreadsheet replace a CRM for a freelancer?
For a handful of leads, yes. It stops working when you want email attached to people, reminders and a view of which sources actually pay.
How do freelancers find clients without cold outreach to strangers?
Start with past clients and referrals, then watch for events at companies that need your skill, such as a job post for your role or a new marketing head. A message that names the event is easier to answer.
