Keep every tenant, owner and investor prospect in one pipeline, with the lease date, the tour and the next call written down. Built around how commercial real estate brokers actually sell, so you start from your own stages instead of a blank page.

Your pipeline, in your stages

Deals move through the stages commercial real estate brokers actually use. Drag a deal, and its forecast and reports follow.

A CRM for commercial real estate tracks the tenants, owners and investors a broker is working, from first conversation to a signed lease or closed sale, with the next step and the key dates on each deal. It does not hold your listings, comps or lease documents. It keeps a prospect whose lease ends next year on your list. This also covers a CRM for commercial real estate brokers.

How selling works in commercial real estate

A broker usually sits on one of two sides. Tenant and buyer representatives help a company find space or a property. Landlord and seller representatives win the listing from an owner, then find the occupant. Both run on long cycles.

The buyer is rarely one person. For a tenant it may be a founder, a COO, a head of finance or a facilities lead, with an attorney reviewing the paperwork. For an owner it is the principal, an asset manager or a property manager. Work comes from past clients, attorneys, lenders, other brokers and your own outreach. Timing often comes from a lease expiration.

Stages are named a little differently from firm to firm. These are common:

StageWhat it meansNext step to log
ProspectA company or owner that may need space or a saleCall, learn the lease date
ToursRequirements are known, properties are being shownBook the next tour, send the survey
ProposalsTerms are going out to landlords or from you to an ownerFollow up in 3 to 5 days
LOI negotiationA letter of intent is being tradedAgree a date for the next draft
Lease or saleDocuments are with the attorneysTrack signing, then ask for referrals

A deal can sit in tours for months. See what a sales pipeline is.

What to look for in a CRM

  • Several people on one deal. The tenant's COO, their attorney, the landlord's agent and the lender are all on the same transaction. You want each person linked to the right company and to the deal.
  • Dates that become tasks. "Lease expires in March, start calling in October" should be a task that appears on its day.
  • Email and calendar on the record. Tours and counteroffers happen by email and phone. If the thread attaches to the deal, you can find what was offered in week three.
  • Value by stage. A report of expected value by stage, and how long deals stay in each, tells you what to chase. See the win rate calculator.

Signals worth watching

Public events that often come before a company looks for space or an owner looks for a broker. Each tracker is a sentence you type into Rodok Pro. Rodok reads LinkedIn posts, job changes, hiring and company news.

  • A company hires fast in one city. Tracker: "companies hiring more than 10 people in (your market) in the last 30 days". More people usually means a conversation about space. See hiring surge.
  • A company announces a new office or market. Tracker: "companies announcing a new office or expansion into (your market)". See new office or market.
  • A funding round. Tracker: "companies in (your market) that announced a funding round". Newly funded companies often plan growth. See funding round.
  • A new operations or facilities leader. Tracker: "COOs, heads of operations and facilities managers who started a new role in the last 90 days in (your market)". A new leader often reviews the lease. See new executive.

A first message example

An example, with made-up names:

Subject: Space plans for Halvorsen in Austin Hi Mira, I saw Halvorsen Biotech has opened six roles in Austin this month. I represent tenants in the lab and flex market and can send a short note on what is available at your size. If you would rather wait, tell me when your current lease ends and I will check back then.

Where Rodok fits and where it does not

Rodok Starter is a sales CRM: companies, people, deals, tasks, notes, files, Gmail and Outlook on every record, a calendar, booking links, reports and team chat. Pro ($79 a month for 3 seats) adds LinkedIn signals, a lead database, sequences and AI.

It does not replace the data tools brokers rely on: listing and comparable sales platforms, lease abstraction, market reports or property management accounting. Rodok does not integrate with them, so you would enter a property or a lease date by hand.

Frequently asked questions

Do commercial brokers need a CRM if they have a listing platform?

Yes, for different jobs. A listing platform holds properties and market data. A CRM holds the relationships and follow-up: who you spoke to and when you promised to call back.

How should I track lease expirations in a CRM?

Add the expiration date as a task on the company, set a reminder well ahead of it, and write the date in the notes as well. A lease can take a year to resolve, so the reminder should arrive before the tenant starts looking.

Can one CRM cover both tenant and landlord work?

Yes, if you name the stages and note the side you represent on each deal, so a landlord pitch and a tenant search do not blur together in reports.
