Start with ProA CRM for mortgage brokers tracks every inquiry from first call to closed loan, and the realtors, builders and advisors who send you borrowers, with a dated next step on each. It is not a loan origination system: it will not price loans or collect documents. It also applies to a mortgage CRM.
How selling works for a mortgage broker
Most of a broker's volume comes from relationships: real estate agents, builders, financial advisors, accountants and past clients. The borrower is usually a consumer, which is a different sale from B2B. Rodok fits the partner side best (the companies and professionals who send you work) and the business side of lending, such as commercial or investor loans, where the borrower is a company.
The stages brokers recognize look like this:
| Stage | What it means | Next step to log |
|---|---|---|
| Inquiry | A borrower or partner asked | Call back the same day |
| Pre-approval | Initial review and letter | Send the letter, ask about the timeline |
| Application | Full file in progress | Chase missing documents |
| Underwriting | Lender reviewing | Answer conditions |
| Closed | Loan funded | Thank the partner, ask for a review |
Your loan origination system runs the file after the application. Rodok tracks the relationship and the follow-up around it.
What to look for in a CRM
- Referral source on every record. Know which realtor or builder sent each borrower, so you can thank them and send work back.
- Companies and people linked. A builder, its sales agents and its lender contact are different people. Seeing them together helps.
- Email on the record. Questions and documents arrive by email. When messages attach to the borrower, the history is there when you call.
- Tasks with dates. "Call back on rate lock Friday" should pop up on the day.
- A reminder on stalled files. A weekly list of loans with no next step catches the ones that drifted.
Signals worth watching
These are public events that often come before a referral relationship or a business loan. Each tracker is a sentence you type into Rodok Pro, which reads LinkedIn posts, job changes, hiring and company news. Rodok does not see rate moves or applications.
- A new real estate agent or broker in your market. Tracker: "real estate agents who started at a new brokerage in the last 90 days in (your city)". New agents look for lender partners. See champion job change.
- A builder announces a new community. Tracker: "home builders announcing a new community or development in (region)". See new office or market.
- A post asking for a lender recommendation. Tracker: "posts asking for a mortgage broker or lender recommendation in (region)". See recommendation request.
- A company announces a new location. Tracker: "small businesses announcing a new location or expansion in (region)". They may need commercial financing. See funding round.
- A hiring push at a brokerage. Tracker: "real estate brokerages hiring agents in (region)". See hiring surge.
Follow your licensing rules and your company's policies on contacting people.
A first message example
An example with made-up names:
Subject: Welcome to the Northgate team Hi Ravi, I saw you recently joined Northgate Realty. Congratulations. I am a mortgage broker in (city) and work with a few agents on the same team. If a quick call about how I handle pre-approvals and updates would be useful, I am glad to set one up. No obligation.
Compare it with the meeting request email template.
Where Rodok fits and where it does not
Rodok Starter is a sales CRM: companies, people, deals, Gmail and Outlook sync, a calendar, booking links, reports and team chat. Pro adds LinkedIn signals, a lead database, sequences and AI. It is built for B2B teams, so it suits the partner and commercial side of a brokerage more than a purely consumer business.
It does not do loan origination: pricing, application intake, underwriting, document collection or disclosures. Keep your lending software for that. Your pipeline report shows cycle length and win rate, which helps when you decide where to spend your week. See the win rate calculator.
Frequently asked questions
Do mortgage brokers need a CRM?
If you rely on referrals, yes. A referral is a relationship, and you need to see who sent whom, when you last spoke and what you promised. A spreadsheet works until you have a few dozen partners and loans.
Is a CRM the same as a loan origination system?
No. A loan origination system runs the file: application, pricing, conditions and disclosures. A CRM manages the relationships and follow-up around the file. Many brokers use both, and Rodok covers only the CRM side.
How should a broker track referral partners?
Add each realtor, builder or advisor as a person, link them to their company, and tag every new borrower with who sent them. Filtering your deals by that field shows who deserves a coffee or a thank-you.
