A CRM for plumbers helps a plumbing company win and keep commercial work: property managers, general contractors, restaurants, hotels and facilities teams. It tracks each account, bid and service contract with the next follow-up. It does not dispatch trucks, so a residential service business also needs field service software.

How selling works in commercial plumbing

Plumbing has two business models, and only one of them is sales-led.

Residential service. A homeowner calls with a leak, a technician goes out and the job is invoiced. Calls, routing, booking and payments decide whether you win, and that is the job of field service and dispatch software. Rodok is not that.

Commercial and contract work. You sell to a smaller group of repeat buyers:

  • Property managers and owners of apartment buildings, offices and retail, who want one plumber on call and a maintenance agreement.
  • General contractors, who invite plumbing subcontractors to bid new construction and tenant improvements.
  • Facilities teams at hotels, schools, restaurants and clinics, who buy planned maintenance, testing and repairs.

Plumbers in this world name the stages like this: lead, site visit, quote or bid, award or purchase order, service agreement, renewal. For work through a general contractor, the front end becomes bid invitation, bid submitted, award, subcontract signed.

Some commercial work repeats on a calendar, and that is where a CRM earns its keep. Backflow testing is one example. The city of Bend, Oregon, says backflow assemblies must be tested at installation, annually, after repairs and after relocating, and that the customer is responsible for hiring a state-certified tester. Rules differ by city and state, so check your own water utility. If you offer testing, a test date on each commercial account becomes a reminder you can act on.

What to look for in a CRM for plumbers

  • A record per building and per manager. Properties change management companies, and managers change jobs. Keep the history with the building.
  • A date field for recurring work. Annual test due, agreement renewal, last quote date.
  • Two saved views of your deals. One for direct commercial accounts and one for contractor bids, filtered by a field.
  • Email and calendar on the record. Quotes, bid questions and site visits all happen by email.
  • Notes after every visit. Who you met, what is aging, what was said about next year's budget.
  • Reports on win rate and open bids. So you can see which kind of customer you win and which you do not.

Signals worth watching

You will not hear about a plumbing need from a LinkedIn post. You will hear about the people and companies who buy plumbing. The CDC gives one example of a public criterion. Its Legionella water management worksheet asks whether a building is a healthcare facility, has multiple housing units with centralized hot water (such as a hotel or high-rise apartment), or has more than 10 stories. Those are buildings whose managers may have plumbing questions.

A first message example

An example with made-up names. Edit before sending.

Hi Elena, I noticed Brookside Hospitality is opening a new property in Tampa. We handle plumbing service for 22 hotels and restaurants in the area, including annual backflow testing. Who handles vendor selection for new openings? I can send our references and response times.

Where Rodok fits and where it does not

Rodok's Starter plan ($29 a month for 3 seats) is the CRM: companies, people and deals, Gmail and Outlook sync, calendar, booking links, tasks, reports and team chat. Pro ($79 a month for 3 seats, $19 per extra seat) adds LinkedIn signals, a lead database and sequences.

Rodok does not take service calls, dispatch, track technicians, send invoices, take payments, track parts or generate estimates from a price book. That is field service software. If your company is mostly homeowners, choose that kind of tool first. If you pursue commercial accounts and contractor bids, Rodok can hold the sales side next to it. The same split applies to HVAC contractors.

Frequently asked questions

Is there a CRM for plumbers that also does scheduling?

Field service software does scheduling, dispatch and invoices. Rodok is a sales CRM with a calendar, tasks and booking links, but it does not dispatch technicians. Use both if you run a service fleet and a commercial sales pipeline.

How can a plumbing contractor find commercial customers?

Start with the people who already buy from you: property managers, general contractors and facilities teams. Then watch for new facilities managers and companies opening new locations, and write to them with something relevant. See LinkedIn buying signals.

What should a plumber track about a commercial account?

The building, the decision maker, who pays, the agreement type, the renewal date, the last quote and any recurring test date. Add a note each visit.
