Rodok for real estate investors

CRM for real estate investors: deals, lenders and brokers

Track every deal, lender, broker and contractor relationship in one pipeline.

From $29 a month for 3 seats.

Your contacts, with their company, deal stage and last activity. Example data.

Track every deal, lender, broker and contractor relationship in one pipeline. Built around how real estate investors actually sell, so you start from your own stages instead of a blank page.

Your pipeline, in your stages

Deals move through the stages real estate investors actually use. Drag a deal, and its forecast and reports follow.

Example data.

The whole CRM, not just the pipeline. Contacts, companies, tasks, email, automations, chat and the lead finder, in one app.

People from one sentence

Start with Pro

A CRM for real estate investors tracks the deals moving from lead to closing and the relationships that feed them: brokers, lenders and contractors. Rodok covers both as contacts, companies and deals, but does not analyze properties. Looking for a free CRM for real estate? Rodok is paid from $29 a month, not a free plan.

How this differs from a CRM for agents

An agent's customers are buyers and sellers, and the work is about their next move. An investor is the buyer, and the work is about deal flow. The people in your CRM are mostly not clients. They are the network that decides whether you see a good deal first. For the agent version, see CRM for real estate agents.

Two lists are worth keeping:

  • Deals: the properties you are evaluating or have under contract.
  • Relationships: brokers, wholesalers, private lenders, bankers, contractors, property managers, closing attorneys and capital partners.

A deal pipeline in five stages

Investors tend to use plain stages. Rename them to match your strategy:

  1. Lead: a property or a source of one has come to you.
  2. Analysis: you are running numbers and looking at the site.
  3. Offer: an offer is out and being negotiated.
  4. Under contract: due diligence, financing and inspection are running, each with a deadline.
  5. Closed, or Dead, with a reason noted.

Give each deal a value and an expected closing date. Rodok's reports then show the pipeline by stage, stale deals and a weighted forecast using the stage probabilities you set. Add tasks for the dates that cost you money if missed, such as an inspection period or a financing deadline.

The follow-up rhythm

Deal contacts run on a different clock than lead contacts.

  • Under contract: daily or every few days, with the lender, title company and contractor.
  • Brokers and wholesalers: a short note every few weeks, and a quick reply when they send something, because the first investor to respond usually sees the next one.
  • Lenders: a check-in each quarter, and before you need money.
  • Contractors: before a project starts, and after it ends.
  • Sellers you did not buy from: a reminder to call back after a few months. Circumstances change.

What to look for

  • Contacts that can be tagged by role, so you can find every lender in a state in two clicks.
  • Deals with deadlines and tasks, not only a stage.
  • Email on the record, so the whole thread with a broker is attached to the person.
  • Notes and files, for a term sheet or a bid.
  • Import, since you already have a spreadsheet.

Rodok Starter, at $29 for 3 seats, gives you companies, people, deals, tasks, notes, files, Gmail and Outlook sync, a calendar and reports.

Signals worth watching

Rodok Pro watches LinkedIn for public posts, job changes and hiring. It does not see property records or private sales.

  • Brokers and wholesalers posting new inventory. Tracker: "LinkedIn posts from brokers or wholesalers about off-market deals in Tampa."
  • A broker joins a new firm. Their network moves with them. Tracker: "commercial real estate brokers who started a new role in Phoenix in the last 90 days." See champion job change.
  • A private lender or bank hires loan officers in your market. Tracker: "private lenders hiring loan officers in Texas." See hiring surge.
  • A large employer announces a new site in a city. That is a possible demand signal for rentals. Tracker: "companies announcing a new plant or office in Boise." See new office or market.
  • An operator posts that they are raising capital or seeking a partner. Tracker: "LinkedIn posts from real estate operators seeking joint venture partners."

Use public information only. Do not scrape owner data, and check the rules on calling and texting where you operate before you contact anyone.

A first message example

An example, not a template:

Hi Elena, I saw you joined Ridgeline Commercial last month. I buy small multifamily in the Phoenix area and can close in 30 days with my own financing. If you have anything under 20 units that is not listed yet, I would be glad to take a look. What is the best way to be on your list?

Where Rodok fits and where it does not

Rodok does not do property analysis, comps, a deal calculator, mailing campaigns or accounting. Use tools built for those. Rodok is the place where the people, the deals and the follow-ups live. It is built for B2B sales teams, so if you want a tool made for investors, compare it with real estate specific CRMs. Pro, at $79 for 3 seats, adds the signal trackers above.

Frequently asked questions

What should an investor track in a CRM?

Track deals with stage, value and deadlines, and the people who feed them: brokers, lenders, contractors and partners. Note the last conversation and the next step for each.

Is there a free CRM for real estate investors?

Rodok is not free: it starts at $29 a month for 3 seats. I have not verified other vendors' free plans, so check their sites.

Can Rodok find motivated sellers or property data?

Rodok does not provide property records or private sale data, and you should not scrape owner data. It tracks the contacts and deals you add.
