Win and grow client accounts: track every hiring manager from first conversation to signed terms. Built around how recruiting firms actually sell, so you start from your own stages instead of a blank page.

Your pipeline, in your stages

Deals move through the stages recruiting firms actually use. Drag a deal, and its forecast and reports follow.

Example data.

The whole CRM, not just the pipeline. Contacts, companies, tasks, email, automations, chat and the lead finder, in one app.

Start with Pro

A CRM for recruiting helps you win and keep hiring clients: it tracks the companies you want to work with, the people who hire, the open roles and the next follow-up. A CRM for recruiters is not an applicant tracking system, so candidate résumés and submissions stay in your ATS. Rodok fits the client-development side of the desk best.

Two pipelines, one desk

A recruiter runs two pipelines at once:

  1. Client development. Find a company that hires, win the right to fill its roles, and get a job order.
  2. Candidates. Source, screen, submit, interview, offer and place people against those roles.

They need different tools. The first is a sales process with companies, hiring managers, terms and deals. The second is a process-heavy workflow with résumés, parsing, job boards and submissions. Rodok is built around companies, people and deals, so it is a good fit for the first and a poor substitute for the second. It is not an applicant tracking system.

How selling works in recruiting

The buyer is a hiring manager, a head of talent or HR, or a founder who has an open role they cannot fill. A good lead is often a company that is hiring right now and has not found the person. Competition is high, so speed and a relevant first message matter.

Stages many agencies use on the client side:

StageWhat happensNext step to log
TargetA company worth approachingFirst message to the hiring manager
Intro callYou learn what they needSend your terms
AgreementTerms or service agreement outGet it signed
Job orderAn open role you are workingSend first candidates
PlacementA candidate startsAsk for the next role and a referral
AccountRepeat businessQuarterly check-in

A placement is not the end of the deal. The follow-up after a start date, asking whether they have another role, is one of the most important tasks on the desk.

What to look for in a CRM

  • Companies at the center. One company, several hiring managers, several roles over time. A flat contact list hides that.
  • Role or job order as a deal. Create a deal per open role or retained search, with the fee as the deal value and the stage on your own scale.
  • A candidate list on the side. For a small desk, candidates can be people records with a status field. For volume, use an ATS.
  • Email next to the record. Client threads stay on the company.
  • Reminders for the quiet accounts. The company that hired through you six months ago is your best lead.

Rodok currently has one deal pipeline, so run your client and role deals there and keep candidate flow in your ATS.

Signals worth watching

Public events that often mean a company has a hiring problem. Each tracker is a sentence you type into Rodok Pro. Recruiting is one of the industries where LinkedIn shows the signal directly: posts, hiring and job changes.

  • A company is hiring many roles at once. Tracker: "companies hiring 5 or more roles in (function) in (region)". See hiring surge and hiring for your job.
  • A new head of talent, HR or a department leader starts. Tracker: "heads of talent, HR directors and VPs who started a new role in the last 90 days". New leaders often build teams and reconsider agencies. See new executive.
  • A funding round. Tracker: "companies announcing a funding round". The announcement often goes together with plans to grow the team. See funding round.
  • A new office or market. Tracker: "companies opening a new office in (region)". See new office or market.
  • A post about a hard-to-fill role. Tracker: "posts from hiring managers saying they are struggling to hire (role)". See problem post.
  • A layoff or restructuring. Tracker: "companies announcing layoffs or restructuring". It can mean candidates are on the market, and sometimes a client who now needs different skills. See layoffs or restructure.

Check the rules in your region on contacting people for business purposes, and never use LinkedIn in ways its terms forbid.

A first message example

An example, with made-up names:

Hi Tomas, I saw that Kestrel Health is hiring four backend engineers and that you posted about how long the search is taking. I recruit engineers in healthcare software and work on a contingency basis, so there is no cost until someone starts. Would it help if I sent two profiles this week for the role you are most stuck on?

Adapt the structure from the meeting request email template and the guide to new role outreach templates.

Where Rodok fits and where it does not

Rodok Starter is a sales CRM: companies, people, deals, Gmail and Outlook sync, a calendar, booking links, reports and team chat. Pro adds LinkedIn signals, a lead database and enrichment, sequences and AI agents. There is a recruiting preset for the business setup.

It does not parse résumés, post jobs to boards, manage candidate submissions, run interview scheduling workflows or handle placement billing and payroll. If you are a high-volume agency with many candidates in flight, you need an ATS first. If you are an independent or a small agency whose bottleneck is winning clients, Rodok suits you.

Frequently asked questions

Is a recruiting CRM the same as an ATS?

No. An ATS manages candidates and job postings. A recruiting CRM manages relationships: clients, hiring managers and, in some tools, candidate nurture. Rodok does client development and is not an ATS.

What is the best way to track job orders in a CRM?

Create one deal per open role or search, linked to the company and the hiring manager. Use the deal value for the expected fee, move it through your stages, and set a task to follow up after the candidate starts.

Can a small recruiting desk use Rodok for candidates too?

For a small number of candidates, you can store them as people with a status field. If you work with hundreds, use an ATS built for candidates, and keep Rodok for the client side.
