A B2B email list is a set of business contacts, each with a name, a title, a company and a work address, that you can use for outreach. You can buy a static file or build a list you can refresh. A bought file starts going stale on the day it is exported, which is why this page is about building one. The same advice applies to a business email list, a B2B contact list or a B2B mailing list.
Should you buy a B2B email list or build one?
Rodok builds the list from filters you can rerun. That makes the comparison easy to be honest about: a bought file is cheap per row and old on arrival, and a list you build costs effort but can be rerun next month.
| Bought file | List you build | |
|---|---|---|
| Freshness | Fixed on the export date | Refreshed whenever you rerun it |
| Fit | Whatever the seller's filters allow | Your own definition of the buyer |
| Context for the first line | None | Title, company and often a reason to write now |
People change jobs and domains close, so a row that was right in March can bounce in June, and bounces hurt the inbox you send from. For the data side of this choice, see B2B data providers and lead enrichment.
How to segment a B2B email list
One list for everyone produces one message for everyone. Cut it before you write:
- By role. A finance lead and a head of operations care about different problems.
- By company size. A 20-person firm and a 2,000-person firm buy differently.
- By industry, one region at a time.
- By reason to write. Someone who started a role last month is a different list from someone six years in the seat.
The ideal customer profile template turns this into one paragraph you can reuse as the list definition.
How to build a B2B email list step by step
- Write the definition: titles, seniority, company size, industry and market.
- Search LinkedIn by hand to test it. If the first 20 results are not your buyer, change the definition before you collect anything.
- Build the list. In Rodok Pro, the Leads page takes a plain sentence and turns it into filters on title, seniority, company size, industry and market. It usually returns a work email for each person, and some contacts will have none.
- Check the emails with a verification step before the first send, and keep anyone without an email for a LinkedIn step.
- Add the people to your CRM so each contact carries its source and its status.
- Rerun it on a schedule and add only the new people.
Keeping the list clean
- Remove every address that bounces, and keep a suppression list of anyone who asked to stop.
- Write down where each contact came from and when you last checked it.
- Treat an address you could not confirm as unconfirmed, not as good.
What the rules say
In the United States, CAN-SPAM applies to commercial email, and the FTC states that the law makes no exception for business-to-business email. You need accurate sender details, a subject line that matches the message, a valid postal address and a working way to opt out that you honor within 10 business days. The rules are in the FTC compliance guide. GDPR in Europe and the UK and CASL in Canada have their own requirements, so check them before you send to those regions. This is not legal advice.
Signals that make a contact worth emailing now
A list tells you who. A signal tells you when. Trackers you can type into Rodok Pro (it sees LinkedIn posts, job changes, hiring and company news):
- A new person in the buyer seat. Tracker: "heads of (your buyer function) who started a new role in the last 90 days at companies with 50 to 500 employees". See champion job change and new role outreach.
- A funding round. Tracker: "companies announcing a funding round in (your market)". See funding round.
- A problem post. Tracker: "posts from (buyer title) describing (the problem you solve)". See problem post.
A first message for a built list
An example, with made-up names:
Subject: Question about Harbor Logistics Hi Priya, I saw Harbor Logistics is hiring two dispatchers. Teams at that point often outgrow the spreadsheet they started with. I help operations teams set up a shared view of jobs and handoffs. Worth a 15-minute call, or should I send a short walkthrough?
For the structure, see the cold email template.
Frequently asked questions
Is it legal to email a B2B list?
In the US, CAN-SPAM covers business email with no business-to-business exemption. Europe, the UK and Canada add their own laws, so check each region on your list.
How accurate is a B2B email list?
It depends on the source and its age, and nobody can promise a number. Verify before sending and remove bounces after.
Can I build a B2B email list for free?
You can with LinkedIn, company websites and a spreadsheet, and it works for a few dozen contacts. It gets slow beyond that, which is where a lead finder helps.
